Tip of the Week!

Did you know that you can maintain your own club's image library to use throughout your website?

Whenever you click on the 'Add Image' button to insert an image within a story, you will see two libraries on the left hand side, the top one is the ClubRunner library of commonly used logos such as the RI wheel and theme logo. Just below that is your 'Shared Image Libary'. By simply clicking on an image, you will be able to insert it into your story, news or site page without having to keep re-uploading it from your computer. Great uses for this include your club logo, banner, President's photo, etc.

To add images to your 'Share Images Library', simply go to the Website tab, then choose Image Library. Click the 'Add Image' button at the top right. Before browsing for your image, you can specify the size which the image will get compressed and resized to. This will be the default size when you insert the image, but you'll still be able to reduce it further after adding it to your story.

Note that all members using the Stories, News and Site Pages sections will be able view and insert pictures from the Shared Image Library, however only Site Administrators may add to or edit the library itself.

Tip of the Week!

Did you know that you can now cancel scheduled emails?

Now, if you've scheduled an email to be sent out, it is possible to cancel that email should you not wish to send it anymore. Upon cancelling, your email gets deleted from the system.

Did you know you now have the ability to email statements to all members?

Within the Dues & Billing section, you now have the ability to email statements to all members regardless of the balance owing on their account. Whereas previously, you were only able to email statements to those members that had a balance owing, you can now send it to members that have no balance, for their records.

We'd love to hear your feedback! Send us your feature suggestions at feedback@clubrunner.ca

RI Integration - Compare & Synchronize! UPDATED

We've been a little quiet on the blog recently but that's only because we've been working on some great new features and functionalities to make your club administration tasks easier.

Our latest software release boasts even more improvement to the RI Integration functionality. In fact, we're very excited to release our new "Compare & Synchronize" feature.

Currently in beta, this new feature will allow you to compare your member data information as it appears on ClubRunner with what is available in Rotary Internationals' Member Access, giving you the option to push your member information directly from ClubRunner to Rotary International or pull your information from Member Access to populate your ClubRunner profile.

Therefore, if you notice a member's profile was inconsistent between ClubRunner and RI, you can simply push or pull the specific field data between ClubRunner and RI. This will allow you to clean up any data that was inconsistent before integration was enabled.

You can access it from the top menu bar under the RI Integration tab. Please note that you need to have an access level of 50 or better to access this report. Here, you will see a list of all your members. Simply click on the member's name to view a more detailed comparison of that member's contact details. You will then be directed to a chart that will display that member's information as it appears on both ClubRunner and RI. For any discrepancies, you'll have the ability to copy over either the ClubRunner value or the RI value by checking off the box for the corresponding field and then clicking on the arrow to reflect the direction of the copy. If the arrow is pointing to the right, that indicates you are pushing the data from ClubRunner to RI. Alternatively, if the arrow is pointing to the left, that indicates you are pulling the data from RI to the member's ClubRunner profile. Once you have selected all the values to sync, simply click on the Synchronize button. The system will then update the information in less than 24 hours.
The Compare & Synchronize report also displays a list of active members in ClubRunner who do not appear on the RI membership list. To add them to RI, simply click on the "Add member to RI" link.

Conversely, it also shows a list of active members that are listed on the RI database but do not appear on your ClubRunner list. To add them to ClubRunner, simply click on the "Add Member to ClubRunner" link.

We're proud to be the first to provide you with this feature and to be leading the way with the integration with Rotary International.

For more information on using this feature, kindly refer to our knowledgebase article, by clicking here.

We'd love to hear your feedback regarding this new feature. Let us know your thoughts by emailing us at feedback@clubrunner.ca

Early on last month, we conducted a ClubRunner Satisfaction Survey so we could hear your thoughts about ClubRunner. Feature Update! New Reports Added to Club Site!

Our latest release features some new reports for clubs as well as an easier way to access all of your familiar club reports. You will notice a new tab on the top menu bar of your Club Admin page, entitled 'Reports (New)' from where you will be able to access the Club Dashboard, Years of Service report, Birthdays and Anniversaries report, Age Distribution report, eDirectory Reports as well as the eDirectory Builder not to mention the all new Download Member Data report.

Build your own reports with the eDirectory Builder 2.0! This module allows you to create reports and design everything from the layout, sections, data sources and fields. Genereate yearly or standing reports from the eDirectory Reports tab to always be up-to-date about your club information.

View an overview of your member data including gender, age and years of service statistics right from the Club Dashboard. You even have the ability to print the graphs to share with your club executives.

The Years of Service report allows you to select the member type (i.e.: Active, Honorary, Other Users, etc) and then filter by years of service (i.e.: Under 1, 20-30, 50+, etc.). The report will dispaly the names of the members, the date joined and you will also have the option to export the report to excel.

The Age Distribution report displays the number of members you have within each age group, the total percentage and even breaks down that information to reflect both active and honorary members. Similary, the Gender Distribution report also displays the total number of members as well as a percentage breakdown, which you can then export to Excel.

The Birthday and Anniversary report allows you to select a month or the entire year and then filter by 'member birthday, spouse birthday, anniversaries, or join date'. You then have the option to sort the report either by name or by date. Once generated, you can then export the report as a PDF, Rich Text Format, Excel or Tiff file.

The new Download Member Data report allows you select the various fields you would like to extract such as birthday, email, nickname, access level, etc. and then further filter by member type, date joined, last login, etc.

These of course are only some of the changes we're making to make your experience with ClubRunner even better with many new features to come! Thank you for all your feedback regarding the reports functionality. Please continue to send in your feedback to us or should you have any questions, please do not hesitate to contact our support team.

  • Easily keep track of your Website Activity. View the number of stories and news items added to the site. Additionally, view the number of events created by the district as well as by all the clubs within the district. Click on the numbers to access more information!
You will also notice the Launchpad is divided into 9 sections from where you can access various features and functionalities. Please click here to read more about the Launchpad!

As you begin to look through your District site, you will notice many new features not to mention improvements on some existing features.

New Access Level and More Fields in the Download Member Data Export!

This release features a new access level on the District level which gives you the ability to grant specific members with access rights to be able to download member data. Previously only available to Site Admins, you can now give access to specific members from the Member Access Rights page on the District site.

Best of all, the download member export now allows you to export more fields into an excel report, such as Website URL, Membership Number, Birthday, Classification and much more. Furthermore, you can even customize the filters you would like to apply to your report by selecting the fields you require such as 'Active & Honorary'  members and Date Joined, Terminated, Last Login, Date Modified, etc.

Google Maps for Clubs

This brand new feature will allow you to view a map of all the clubs in the District on Google Maps with filters allowing you to display the clubs based on the time of the day they meet as well as the day of the week they meet. This new feature can be added from the District Information widget onto your homepage. Once added, simply republish your website.

Redesigned Photo Organization Chart & Member Designations

The all new redesigned photo organization chart now also displays your member designations with special icons along with the name of your club and your title in the form of a business card. Identifying member designations just got easier!

District Dashboard Updates

Within the District dashboard, you now also have the ability to filter by area such that you can generate membership statistics by area as well as by club for a more refined search. A vast improvement to the AG module, with this new update, Assistant/Area Governors can now access a dashboard view of all the clubs in their area. Additionally, AG's also can now generate more reports to monitor their clubs membership.

Customizable Email Templates & Attendance Reminder Email

ClubRunner District Version 2.2 gives you the ability to create numerous custom email templates. Moreover, you now also can customize your attendance reminder emails and edit the content as you wish!

Feature Tips of the Week!

Did you know you there are two new story widgets available in the Dynamic Bulletin Editor?

You now have the choice between inserting either your 'story brief' or 'all details' (brief and content) into your dynamic bulletin. These two new options can be found in the widget selector menu in the Bulletin designer.  Selecting the story brief widget will display an image and just the brief with a link directing readers to the complete article. Feature Updates - Website Designer, Committees Module & Dues & Billing!

Deleting Widgets Confirmation!
Confirm before Deleting Widget
We always appreciate your feedback on the system and always strive to incorporate your suggestions into the ClubRunner platform.

As part of our latest feature update release, we've added a layer of protection in order to ensure widgets are not deleted from the Website Designer screen by mistake. As many of you requested, you will now be asked to confirm whether you wish to delete a widget from the designer screen upon clicking on the delete button. Upon clicking 'yes', your widget will be deleted. If you had clicked the delete button in error, the confirmation message will give you the ability to cancel the request.

Did you know you can now select and e-mail members of subcommittees from the e-mail tab in the Committees module?

Subcommittee Listing
You now have the ability to select members of subcommittees as recipients of your emails. From the Committees module, upon clicking on the e-mail tab, the system will allow you to expand your subcommittee member listing in order to see the members and select and email them.

New Currencies Added in the Dues & Billing Module!
In order to accommodate our International clients, we've added new currencies in the system such that invoices can be created with currencies pertinent to the country. This release includes the addition of Kuwaiti Dinar and Uganda Shillings. A full listing of the currencies available can be accessed from the 'Configuration Settings' page found in the Dues and Billing module.

Please continue to send in your feedback and suggestions to us! Should you have any questions or concerns, please do not hesitate to contact our support team.

Feature Update - Club Documents

Just a few months ago, we announced that it was now possible to collapse sub-folders as well as transfer documents between folders in the Club Documents section.

Since then, we received some wonderful feedback whereby you requested that the default setting for the folders be set so that all folders remain closed. As part of our latest release, you will notice that when you access the Club Documents section, your folders will all be in the 'closed' state. You can expand any of the folders you like and the system will then remember how you last left the page, so that the next time you access the documents storage page, it will display your documents as you had last left the page.

We thank you for the wonderful feedback! Should you have any questions please do not hesitate to contact our support team!

2012 Rotary International Convention in Bangkok - A ClubRunner Overview!

A fascinating event with a mix of both the Eastern and Western culture, the 2012 Rotary International convention was an exciting and fun-filled event for the more than 35,000 Rotarians in attendance.

During this action packed event, the ClubRunner booth was bustling with activity! From an overview of the latest ClubRunner features and enhancements to the highly anticipated sneak peak of ClubRunner Version 3.0, we had a variety of events taking place at the booth every day!

Halle, Sarah & Jeff from the ClubRunner team had an amazing time meeting all of our wonderful customers and listening to all of their great suggestions. In fact, we received some excellent feedback and will work on implementing those suggestions to the ClubRunner service in the near future.
On May 8th, as we began the sneak peak demo of the forthcoming ClubRunner Version 3.0 platform, we had an overwhelming response from both our current and prospective customers. As our unveiling party continued, the crowd at our booth continued to grow and we were ecstatic to see the interest levels of fellow Rotarians peak as they excitedly signed up to become beta testers. We also held demonstrations to highlight the ClubRunner Mobile App and were delighted to see the download statistics double during the convention.

During the five days, we had many people enter to win our mystery prize and it was awarded to Whay Yih from the Rotary Club of Bugis Junction. We also held a raffle to give away 10 free year's subscriptions to ClubRunner and the lucky winners will be announced within the coming weeks.

Thank you to everyone who visited the ClubRunner booth and made this event memorable! We'll be uploading photos and videos from the convention soon. In the meantime, if you have any pictures you want to share with us, join the conversation and get connected with us on our Facebook Fan Page!
