RI Integration - Club Officer Information Goes Live!

On November 1, 2010, ClubRunner became the first vendor to introduce the RI Integration feature to Rotary Clubs. Over the past year, we've worked close with the staff at Rotary International to improve this module so that it features more synchronizations.

Club Officer Information



We're extremely proud to announce that ClubRunner customers that have activated this feature can now sync their Club Officer information to RI's databases in realtime. Currently, only available through ClubRunner, clubs can now define their club officers for 2012-2013 and the information will be reflected on RI's database in minutes! Club Meeting Information



Now available, clubs can sync their club meeting information to RI's database in real time as well. Updates made to the club's meeting place as well as the meeting date and time will be reflected on RI's databases in minutes. For more information, please click here.

Now Available - A New Cancellation Feature in MyEventRunner!

In our efforts to improve the MyEventRunner feature, we've introduced a new cancellation feature. Now event chairs can cancel a registration on MyEventRunner, while still maintaining a balance owing. A new button is now available in the "View Registration" screen to allow you to cancel a registration

Clicking on the button will prompt you for an optional cancellation fee, specified either as a percentage of the registration amount, or a flat fee. This will update the balance and keep that registration under a 'Cancelled' status. This means that the particular registrant will now longer appear in the various reports and nametags, but you will still be able to view the registrations within the online report, highlighted in red.

Dues & Billing Update!

Did you know that the Dues and Billing module now features a new batch report for printing multiple invoices?

Now available, you can select specific members and download a single PDF document containing all their printable invoices, which makes it easier to print all invoices in one go. Still available is the ability to print individual invoices as well as to email selected or all invoices.

Tip of the Week!

Did you know that you can keep track of your dues with ex-members?

Ex-Members now also appear when creating invoices as well as in the Account Statements section of the Dues & Billing module. You can send invoices to ex-members and keep track of their transactions as well as perform credit and debit adjustments easily.

New Option in MyEventRunner Allows Registrants to Edit Form

Managing your event registrations just became easier. MyEventRunner now features a new option in the Setup page to allow registrants to edit their registration after they have paid.

This can be enabled on a per event basis. The confirmation email that is sent after a successful registration will include a link to allow the registrant to go back and make changes to their registration, provided the resulting total amount is equal to or higher than their original total.

For example, instead of purchasing just one add-on, if the registrant decided they would like 2, this is possible. The link will bring up the original form so that changes can be made, and then the final payment step will request payment of the difference. If the registrants decides to cancel an add-on or downgrade to a lower package, they cannot do so online and will be prompted to contact the event chair as this will require processing a refund according to the event's policies.

Start and End Dates and Times added in MyEventRunner


We've added 2 new fields to the Setup page for MyEventRunner - event start date and time as well as the end date and time. We've also incorporated time into the Registrant start and end dates, so you can decide exactly when your event is closed for registration. Please note, however, the times used in these fields are preset to Eastern Time.

New Field Available in Member Profile - Preferred Phone

A field that has been requested by many, we've now added a 'Preferred Phone' field in the Member Profile. Now members can select which phone type is their preferred one as it appears in various places such as the website, club directories and printable reports. Located in the Personal tab of the member profile, each member can choose between Home, Business or cell. This field has also been added to the Dynamic eDirectories as an option.

MyEventRunner - Registration Save Method Changed

An important change has been made to MyEventRunner in regards to the time when the registration is saved. In the past, it was saved the moment the user lands on the Payment Options screen. Oftentimes, users abandoned the screen at that stage if they weren't ready to make a purchase, but the registration appeared in the list, and a confirmation email was sent. This left the event chair with the task of contacting the registrant to find out what their intentions were.If the user decided to register at a later time, this would result in duplicate registrations.

The change that was implemented was to save the registration only when the payment is completed, whether it's via credit card or by pressing the button to indicate payment by check. We added notes to that screen to ensure the user is aware that the registration is not saved until either of those two actions are taken. Note however that should the credit card transaction fail, the registration is still saved. A note will appear for the event chair to indicate this in the reports. This is to make it easier for the registrant to retry at a later date by accessing the link in his or her confirmation email.

Menu BarWe've made it easier to link to your site pages from the top navigation menu in Website Designer - a new type of link has been added in the Menu Item screen called 'Site Pages'. Once clicked, you'll see your site page structure (including nested site pages) from which you can navigate through and select the desired page.

eDirectory Builder 2.0 Released for Clubs!

Now available to clubs, the eDirectory builder 2.0 will allow you to design and build your own custom reports! This module allows you to create reports and design everything from the layout, sections, data sources, and fields in order to create unlimited reports that your members can access in the members only area.

RI Integration - Member Terminations Goes Live!

We're excited to announce that the RI Integration feature now includes member terminations! This means that now, all member updates as well as terminations will take effect in minutes and will update RI's database in real time.

This project continues to be enhanced and we are continuing to add more synchronization in the near future as part of our dedication to making it simpler for clubs to maintain their data in a seamless and accurate way.

Introducing Google Analytics for Clubs and Districts!

We’re happy to announce that clubs and Districts will now be able to track their website traffic and monitor various site statistics with Google Analytics for clubs (beta)! At this time, we are looking for clubs that would be willing to volunteer and assist us in our beta testing and provide us with feedback on its performance.

With Google Analytics incorporated into your ClubRunner website, you will be able to uncover trends and patterns of website traffic and will be able to track your sponsor ads and more. If your club is willing to participate in our beta testing, we ask that you kindly e-mail admin@clubrunner.ca with your Google Analytics Key, so that we can turn this feature on for your club. If you do not currently have a Google Analytics Key, you will need to first create an account by visiting http://www.google.com/analytics, after which you will be given an analytics key unique to your account.

We're happy to announce that we've recently updated our e-Support Center. Our knowledgebase has a fresh new look and is much easier to navigate through. You will find all the information you need neatly categorized under various headings and subheadings. Access our training videos, frequently asked questions, resource guides, much more effortlessly.

Now, when you export the inactive members list, you can see the termination reason listed in the excel report too. To download member data, simply click on Download Member Data in the Membership Manager section and generate the needed report.

Tip of the Week!

Is your club fully utilizing the Event Planner Module?

Did you know, you can see the registration status to see how registrations are going with a click of a button? Club members can accept or decline invitations so as to not keep getting invited and can also enter in comments; the Club Admin can register Club members and the event chair can send invitations to club members as well as send reminder e-mails to those members that have yet to accept or decline the invitation. To email members, simply click on your event and click on ‘Email Members by Registration Status’. To e-mail members based on their status (i.e: undecided) an invitation, simply click on ‘Email Invitation to Members by Status’.

Tip of the Week!

This past release, we’ve made many improvements to the ClubRunner service!

Did you know you can now create a drop down list of all your photo albums on your menu bar?

Recently added, this enhancement will allow you to add your photo albums as a menu item. To create a drop down list of all of your photo albums, go to the "Menu Items" section within Website Designer. Click on ‘Add new Menu Item’ and select “Built-in Pages” under Type. A list of options will appear, simply click on Photo Albums and Save!

You can now refresh the data on your Attendance report to display the most recent change!

We’ve added a “Recalculate Button” to the YTD Attendance report which if clicked on, will refresh the data and will display the most recent changes.

The ‘Add Image’ button will now insert the image at cursor instead of at the bottom of the editor.

No longer will you have to drag the image to where you want it to appear. Now, the ‘add image’ button will add the image to where you place the cursor opposed to the bottom of the editor.

New Story Editor (Beta) now available!

Currently in Beta version, this new story editor has many more features than the current editor. From choosing a variety of fonts to using the numerous editing options, this new editor will give you the platform to customize your stories even further. To use the new editor, simply click on the link pointing to the new editor within the current story editor screen. Please note, however, as this editor is still in Beta version, there may be certain features that are visible that may not function yet.

Tip of the Week!

You asked for it and we listened! Our development team has been working hard to incorporate customer suggestions into the ClubRunner service.

Clubs can now customize the currency symbol in the Dues and Billing module to their own symbol, instead of the default $ sign. The chosen currency symbol will also appear on invoices as well as statements. Furthermore, the Dues and Billing module now includes ex-members, so that you can easily follow up on outstanding balances!

We’re also pleased to announce that duplicate registrations can now be rejected as an option in MyEventRunner. When hosting an event, if you do not want guests to register multiple times, you can simply select the option to do so in the event setup. If a matching e-mail address already exists on the guest registrants list, that individual will not be able to register again but will be given the event chair’s contact information instead. Tip of the Week!

Did you know that you can now directly add images and embed videos to your story brief?



This new feature allows you to add images to the story brief from either selecting images stored in your image library or by browsing for the file on your computer. To add an image, simply click on ‘add image’ and select the image you want to display within your Story. You can select images from your image library or can choose to upload an image from your computer. To embed videos, click on the 'embed from YouTube' button and paste the appropriate code.

Customize and Configure your eBulletin with the Dynamic Bulletin!

The eBulletin is an effective tool that Clubs use to boost membership growth, retention and public relations. The Dynamic Bulletin will allow you to do just that!

Currently in beta version, the new Dynamic Bulletin not only offers multiple designs but is also much more flexible in its layout and style options. You are now able to design and build your eBulletin the way you want it, with all the content you want to share from your website.

The Dynamic Bulletin 2.0 Features:

- Customizable Banner Graphics & Headers: You will have the ability to upload your own custom banner header image or design your header using 2 logos and formatted text.
- Flexible Layouts & Custom Widgets: Your eBulletin will no longer have a static look and feel to it. This feature will allow you to design your eBulletin in the same way that you would design your home page with Website Designer 2.0. You will be able to decide which components to display on your eBulletin and where!
- Custom Content Widgets: Not only will you be able to display multiple widgets on your eBulletin but you will also have the opportunity to create and display customized content such as announcements, images, about the club blurbs, large graphics, and more.


You will find the Dynamic Bulletin editor under the ‘Club eBulletin’ section in the admin screen. We will port over all your bulletin content to the new designer and select a default layout to get you started so you will not have to worry about converting your content. Get ready to give your weekly newsletter a major overhaul!

Tip of the Week!

Did you know that you can view the archive of all RI Integration updates that were attempted in the past 3 months?

Recently released, you are now able to view an archive of all the RI Integration updates that were attempted since the release of this feature. This new feature will store and allow you to view updates from the past 3 months. Updates are shown by member, then grouped by a ‘field type’. You will be able to see whether an update was successful or not and the reasons why if it wasn’t. If a manual e-mail was sent with the member information, you will be able to see the date sent. Found under the Membership tab on the top menu, the default view is for all members, however you can select a specific member from the drop down option. Please note, that only members with updates will be found in this drop down list.

Tip of the Week!

Did you know it is now possible to add your own favicon to your ClubRunner website?

By default, we’ve added a customized browser icon which will be displayed right next to your website URL in the address bar. Thus, when an individual adds your site to their favourites list or creates a shortcut of your website link, the customized icon is displayed on their computer rather than a default html icon.

Should you wish to change the favicon or personalize it further, click on Start Designer in the Website Designer 2.0 section and navigate to ‘Edit Favicon Logo’, found on the top menu bar. Upload your .ico file from your computer and click on save.

Tip of the Week!

#60) Did you know that you can add a photo of the speakers along with their description in the Speakers section?


To do this, click on 'Edit Speakers' found in the admin screen and enter the information as your normally would. Click on browse near the 'image' field and select the photo you want to upload. Once uploaded, click on save.

If you would like to display the Speaker photo on your home page, you can do so by creating a custom content box. In order to do so, simply go to the Website Designer section from the admin page and click on ‘Add Content’. Within the editor, you will be able to add images and text.

2011 Rotary International Convention - Recap!

With over 20,000 Rotarians in attendance, the 2011 Rotary International Convention in New Orleans was an exciting and fun-filled event for everyone.

During this action packed event, the ClubRunner booth had a variety of activities taking place every day. From an overview of the newest ClubRunner enhancements to the launch of ClubRunner’s new Mobile App, the booth was bustling with activity! ClubRunner Champions joined the team as they happily shared their experiences and best practices with current as well as up-and-coming customers.



The ClubRunner team had an amazing time meeting all of our customers and listening to all of their wonderful suggestions. We also had the opportunity to meet with Peter Markos, Chief Information Officer and General Manager of Rotary International about the future of Rotary as well as the importance of Social Media within Rotary. ClubRunner is proud to have been the first vendor to have integrated its database with Rotary International and is excited to continue to work closely with Rotary International on this and other projects.





On May 25th, we had our loyal customers join us at the launch party to celebrate the release of the ClubRunner Mobile App. As we held live demonstrations to highlight the app, many customers helped one another download the app on to their phones. We were ecstatic to see that the Mobile App was an instant hit! In fact, the download statistics tripled during the convention!





Thank you to everyone who visited the ClubRunner booth and made this event memorable! Your feedback is important to us and we appreciated all of your suggestions. Here at ClubRunner, we are very proud to announce the release of our new ClubRunner Mobile App. Released on May 4,2011, the ClubRunner Mobile App is your key to connect to your ClubRunner website on the go! Password protected just like your website, the app currently features 3 main modules along with numerous features bringing you even closer to connect, collaborate and communicate! Upon login, you will have the ability to browse through your member directory, view the latest feed of home page stories and even locate the nearest clubs that are within a specified range of your current location, right from your iPhone or iPod. Currently only available for the iPhone, iPod and iPad, we will soon be releasing our Mobile App for Blackberry and Android phones as well.

New: Facebook Like Button!

Released today, you will now see a ‘Facebook Like’ widget in Website Designer 2.0. Once added to your site, a Like button will appear, which visitors can simply click on to add your website link and club info to their Facebook wall. A prompt will appear to sign into the visitor’s Facebook account, after which they will be able to add a comment that will accompany the post. The widget will then update automatically to reflect this action by displaying the number of ‘likes’ your website has received, which is an excellent way to promote your site and increase traffic using the Facebook network. It’s that easy!

Tip of the Week!

#59) Did you know you can now add captions to the photos in your Photo Albums ? Recently released, this new feature will allow you to add a caption to all your pictures in your Photo Albums as well as add a description under each picture. You will now see an 'Edit Caption' icon in the Photo Albums page. Simply click on this icon and add a caption as well as a description of the picture and click on save. When an individual views the picture, they will be able to read the caption under the picture.

#57) Did you know that you can now directly add images to your 'Stories'?



Just released, this new feature allows you to add images to your Stories from either selecting images stored in your image library or by browsing for the file on your computer.

To add an image, simply click on ‘add image’ and select the image you want to display within your Story. You can select images from your image library or can choose to upload an image from your computer.

Tip of the Week!

#56) Did you know that there is an easy and automatic way to get your login name and password if you are a new ClubRunner user or have forgotten your login credentials?


To retreive your password:
1) Click on the "Login" tab

2) On the Members Login page, click on the link "Forgot your password?"

3) On the Get Password page, type in your last name and email address.

4) Click on "Get Login Info"

5) Check your email for your default username password.

Our system will perform a security check by matching the last name submitted with the email address provided. If the email address we have on file (either inputted by your club director or imported from the District) is different from the one you provide, this method will not work. In this case, you will have to get your username and password from ClubRunner Support.

Tip of the Week!

Tip #55: Did you know you can create a custom widget in order to add a Google map highlighting your club meeting location on your ClubRunner website?

In order to do so, simply search for your location on Google maps and then copy the HTML link from Google and add it in your custom content box. You can then display your meeting venue location on your home page! This feature is only available with Website Designer 2.0. Tip of the Week!

Tip #54: Did you know you can now control your website's meta tag keywords?

A new feature available for both Clubs and Districts, you will now be able to better control your website’s meta tag keywords and description to improve your search results in Google and other engines. The good news is that if you don’t modify your meta tags, we’ll do it for you! When you access this feature for the first time, you will see all fields personalized with your own keywords such as city, state, and club name to make sure you’re found instantly, so be sure to visit this page and set your keywords soon. A few hours after you set your keywords, search engines will begin to pick them up and as a result your site will begin to rank higher in search engines.

Tip #53: Did you know that you can opt of receiving district bulletins and emails?

In our ongoing efforts to improve privacy levels for our customers, we’ve added a new feature which allows you to opt out of receiving district bulletins and emails. If you no longer wish to receive these messages, you now have the ability to opt out. In order to do so, simply go to your member profile and click on the privacy tab. Uncheck the checkboxes next to ‘District Emails & District Bulletin’ and click on save. It’s that simple.

Tip of the Week!

Tip #52: Did you know you can add customized widgets to your ClubRunner Website?

In addition to selecting from the already available widgets, you can also add customized widgets to your website. In order to do so, simply go to the Website Designer section from the admin page and click on ‘Add Content’. Within the editor, you will be able to add a variety of content to your home page such as images, videos, meeting announcements, etc. You can also create and edit the widgets using HTML coding if you choose to do so. This feature is only available with ClubRunner Version 2.0. For further assistance on editing widgets, visit our support center or contact our support team at support@clubrunner.ca.
